THE ROLE

About the role

Program: US Digital Events Webinar

Location: Hybrid, New York, NY (NYC Studio, Chelsea)

The Digital Event & Webinar Producer serves as the primary operational and production lead for our client’s digital events program. This role leads the end-to-end event production lifecycle: building master project trackers, booking digital studios, scheduling and leading kick-off workflows, reviewing and QA’ing scripts and decks, coordinating email marketing deployment, and running live broadcasts and studio shoots.

Responsibilities

Project Management: Develop and maintain production timelines, project trackers, studio schedules, and event documentation. Coordinate milestones, manage dependencies, and keep cross-functional teams aligned throughout the event lifecycle.

Stakeholder & Speaker Coordination: Lead production kickoffs, manage speaker and stakeholder communications, coordinate schedules, and facilitate alignment across client product marketing teams, agency partners, and production teams.

Content Development & Quality Assurance: Review presentation decks, scripts, and supporting materials for brand consistency, content quality, narrative flow, technical requirements, and timing. Coordinate feedback and approvals to ensure all materials meet program standards.

Event Asset Management: Oversee the development and delivery of event materials, including presentation templates, audience surveys, registration pages, promotional emails, and supporting event content.

Email Communications & Registration: Coordinate event registration setup, audience list management, invitation emails, reminder communications, and post-event follow-ups in partnership with partner agency teams.

Studio & Broadcast Production: Manage studio bookings, technical requirements, rehearsals, run-of-show documentation, and live event execution. Coordinate with studio teams to ensure all presenters and production elements are ready for broadcast.

Live Event Operations: Lead event-day production for livestreams, prerecorded content, live Q&A sessions, and hybrid presenter formats. Monitor production quality, troubleshoot issues, and coordinate teams to keep broadcasts on schedule.

Post-Event Reporting & Handoff: Reconcile registration and attendance data, archive event reports and audience engagement records, coordinate post-event communications, and deliver finalized content for regional localization.

Skills We're Looking For

  • Strong organizational and project management skills, with exceptional attention to detail and the ability to manage complex timelines and multiple concurrent events.

  • A proactive, solutions-oriented approach, with the ability to anticipate challenges and manage competing priorities in a fast-paced agency environment.

  • Clear, confident communication skills and the ability to build strong working relationships across client, creative, and production teams.

  • A hands-on approach to production, with the ability to balance operational detail, technical execution, and the overall client experience.

  • Comfort working independently, making decisions, and keeping stakeholders informed as priorities and production needs evolve.

Qualifications

Experience: 3-5+ years of experience in digital event production, webinar management, live broadcast operations, or a related field.

Event Production & Broadcast: Experience managing livestreams, technical rehearsals, studio shoots, run-of-show documents, and live or prerecorded event formats.

Platforms & Production Tools: Familiarity virtual event platforms and digital production workflows.

Content QA & Editorial Skills: Experience reviewing presentation decks, scripts, speaker notes, and event materials for quality, consistency, accuracy, and timing.

Project & Stakeholder Management: Able to manage complex production schedules, maintain detailed project trackers, coordinate cross-functional teams, and lead production briefings with clients and agency partners.

Technical Coordination: Ability to work effectively with AV technicians, studio crews, presenters, and remote participants to troubleshoot technical issues and deliver reliable broadcasts.
